Our client — Hancock Askew & Co LLP — is an accounting firm that relies on technology to communicate with clients, partners, and other business professionals. They needed to upgrade their conference rooms to ensure a better internal and external experience. 

AV-Tech Media Solutions was brought in to update several conference rooms with new technology including but not limited to cameras, displays, microphones, phones, and soundbars. 

The Challenge

The professionals at Hancock Askew & Co LLP rely heavily on technology to conduct client meetings and to communicate both internally and externally. Furthermore, they require well-designed meeting spaces to ensure quality in all communications. 

So, when Hancock Askew & Co LLP realized that its technology and meeting spaces were outdated, they turned to AV-Tech to deploy state-of-the-art AV systems and optimize collaboration spaces. 

With a growing client list and the expansion of its internal team, crystal-clear, seamless communications have never been more critical. AV-Tech was trusted to provide and install new equipment, upgrade meeting spaces, and troubleshoot systems as applicable. 

Solution

Modern, high-performing, and easy-to-use technology is critical to efficient and streamlined communication. 

AV-Tech conducted a complete review of our client’s conference rooms to determine what was working, what wasn’t, and potential solutions. This resulted in a primary objective of revamping current conference rooms — with a focus on their fundamentals room — to minimize negative meeting experiences caused by poor architectural designs and ill-fitting and outdated technology. 

Additional objectives included:

  • Rework all meeting spaces to ensure greater accessibility for virtual meetings.
  • Update technology for improved audio and visual performance. 
  • Replace hard ceilings and glass walls to improve sound performance throughout the conference areas. 

Results

Within two weeks — including one full day for training — we successfully updated several rooms. Some of the many upgrades included:

  • Transforming a break room into a conference-capable room by installing a camera, speakers, integrated AV soundbar, and a large display. 
  • Installed sound masking tiles in additional spaces to minimize noise pollution. 
  • Replaced outdated technology — including cameras, displays, microphones, phones, and soundbars — with more modern and high-performing devices.

The fundamentals room — a 25’ x 15’ space used as the company’s primary meeting room — called for the most extensive upgrades. In its original state, it was extremely bright with subpar acoustics. 

Contributing to its poor design were two walls composed entirely of glass, along with sheetrock on the ceiling. That made it extremely challenging from an acoustics perspective to effectively conduct in-person and online meetings. 

Our team, alongside the guidance of an acoustical partner, addressed the client’s concerns in several ways:

  • Installed acoustic panels on all non-glass surfaces.
  • Selected a color scheme for a more subdued aesthetic appearance.
  • Added a microphone system and digital sound processing solution. 
  • Installed a sound masking system to cover standard background noise.

Before consulting with AV-Tech, Hancock Askew & Co LLP struggled to provide a positive virtual meeting experience. Upon completion, the client scheduled a meeting the next day and gave rave reviews of the upgraded space and how it performed.
