Hosting a Successful Virtual Event

In todays world virtual events are safer, so we are now faced with the task of delivering the same content that people are used to sharing during in-person events on a virtual platform.  At AV-Tech we want everyone to realize that your audience can receive many of the same elements as before while enjoying some additional features.

Here are some areas to consider when setting up your virtual event, to be sure it is a great success.

First, you must understand which platform is best for you.  During the planning phase you’ll need to determine which platform will work best for your specific event needs.  This step is crucial as different platforms will provide different experiences for your audience.  You should be trying to determine which of these options are the best fit for your event.

  • Web conferencing platforms (Zoom, Teams, BlueJeans, etc.)
  • Streaming platforms ((participants only watch what is broadcasted), embedded in your website, YouTube, Vimeo, etc)
  • Fully immersive virtual environments (6Connex)

Keep in mind, that with technology today, virtual events can be hosted from anywhere.  Whether in an office, studio, hotel ballroom, or even your home, the only thing you need is a capable internet connection. If you are partnering with a group , like us, we will provide the rest.  One thing to determine in picking your location is the number of people on camera at any given time.  You may need to consider a location with more space if you plan on presenting multiple people to your audience at once. As your technical provider, we treat virtual events much like a live television broadcast, we can work in any space to build the right studio environment for your needs. Another thing to consider is the timing of your event, keeping in mind different time zones that your participants may be connecting from.

Another simple way to help keep your virtual event moving along smoothly is to consider pre-recording your content. Some events can even be 100% pre-recorded and then played back on your streaming service or website for your audience to enjoy together live. This will allow you, the host, to experience some of the perks of live events like real-time communication between attendees and even the possibility to receive and response to live questions via chat.  Also, you will be able to capture vital information from attendees using surveys and polls.  Whether pre-recording or shooting live, we can also incorporate other pre-produced content you may already own into your live event.  This can add to engagement and help tie your entire event together into a seamless experience for your attendees.
